Privacy Policy
PlayPlan
Last updated: 31 July 2026 · Version 1.0 (Beta)
In short
PlayPlan is used by parents and guardians, not by children. You create the account, and you decide what to share.
- We store your child's first name and birth year — nothing more is required. No photos, no personal ID numbers, no school, no address for the child.
- Your data is hosted in the EU (Stockholm, Sweden).
- Your plans are private by default. You choose, per plan, whether to share with your club or with friends.
- We do not run ads and we do not sell your data to anyone.
- Tournament information itself comes from the publicly available calendars published by the Norwegian and Swedish tennis federations.
The rest of this page explains all of it properly. If anything is unclear, write to us at hi@wrixit.com and we will answer in plain language.
1. Who is responsible for your data
The data controller for PlayPlan is:
WRIXIT AS
Org. no. 933 031 071
Vennersborgveien 8a, 0281 Oslo, Norway
hi@wrixit.com
If you have any question about how we handle your information, contact us at the address above. You can also contact us to exercise any of the rights described in section 10.
2. What this policy covers
This policy covers:
- the PlayPlan website at playplan.ai
- the PlayPlan mobile app for iOS and Android
- the PlayPlan web app
- our early-access mailing list
It does not cover the websites and systems of tennis clubs, of the Norwegian Tennis and Padel Federation (NTF), of the Swedish Tennis Federation (SvTF), or of Tournament Software. When you register your child for a tournament, that registration happens in those systems, under their own privacy policies, not ours.
3. What information we collect
3.1 Information you give us
Your account
- Name
- Email address
- Password (stored only as a cryptographic hash — we never see or store your actual password)
- Tennis club, if you choose to give one
- One or more saved locations you use to measure travel distance (for example your home area, or a place you regularly visit)
Your children
- First name (or a nickname — it does not have to be their legal name)
- Birth year
- Sport
- Optionally, their player ID from the federation system, if you choose to add it
Your plans
- Which tournaments you are considering, registering for, entered in, or skipping
- Whether your child is looking for a doubles partner
- Whether you need a lift or can offer seats in a car
- Whether each plan is private or shared, and with whom
- Weekends you have marked as unavailable
When you contact us or join the early-access list
- Email address, tennis club and your child's birth year
- The content of any message you send us
3.2 Information we collect automatically
- Usage information: which screens you open, which features you use, and errors the app encounters. We use this to find bugs and to understand which parts of the app are actually useful.
- Device information: device type, operating system version, app version, language, and approximate region.
- Push notification token, if you allow notifications, so we can send you a deadline reminder.
- Log data: IP address and timestamps, kept for security and troubleshooting.
3.3 Information from public sources
We collect tournament information — name, dates, venue, host club, age categories, registration opening and closing dates, and contact details published by the organiser — from the publicly available tournament calendars of NTF and SvTF.
We do not import lists of participating children. The only children in PlayPlan are the ones parents have added themselves.
4. Why we use your information, and on what legal basis
| What we do | Why | Legal basis (GDPR) |
|---|---|---|
| Create and run your account | To provide the service you asked for | Performance of a contract, Art. 6(1)(b) |
| Match tournaments to your child's age and your locations | This is the core function of the app | Performance of a contract, Art. 6(1)(b) |
| Store and display your plans | To provide the service | Performance of a contract, Art. 6(1)(b) |
| Send deadline reminders by push notification | So you do not miss a registration deadline | Performance of a contract, Art. 6(1)(b). You can turn notifications off at any time. |
| Send a weekly summary email | To tell you what needs your attention | Performance of a contract, Art. 6(1)(b). Every email has an unsubscribe link. |
| Share a plan with your club or with friends | Because you asked us to | Your consent, Art. 6(1)(a) — given per plan, withdrawable at any time |
| Fix bugs, measure usage, improve the app | To keep the service working and make it better | Legitimate interests, Art. 6(1)(f) |
| Keep the service secure and prevent abuse | To protect you and us | Legitimate interests, Art. 6(1)(f) |
| Send product news and marketing email | To tell you when the app launches or gains features | Your consent, Art. 6(1)(a) |
| Handle payments, when paid plans launch | To take payment and meet accounting obligations | Contract, Art. 6(1)(b), and legal obligation, Art. 6(1)(c) |
5. Children's data
This matters more than anything else in this document, so we want to be direct about it.
PlayPlan accounts belong to adults. The app is designed for a parent or legal guardian to manage the tournament planning of their own children. Children do not create accounts, do not log in, and cannot be contacted through PlayPlan. If you are under 16, please do not create a PlayPlan account.
We ask for as little as possible. A first name and a birth year is all the app needs to work. We deliberately do not ask for a full legal name, a date of birth, a photograph, a national ID number, an address, a school or a ranking. If you prefer to enter a nickname instead of a real first name, the app works exactly the same way.
You are the one who decides about sharing. A child's participation is never visible to anyone else unless you, the parent, actively set that plan to be shared. Plans are private when created. Plans you have marked as "Skipping" are never shown to anyone else, in any view.
Shared information is limited. When you share a plan with your club, the other parents in that club see the child's first name, the tournament, and the status you chose to share. They do not see your contact details, your other children, your other plans, or your saved locations.
You can remove a child at any time, which deletes that child's information and all associated plans.
If you believe a child's information has been added to PlayPlan by someone who is not their parent or guardian, email us at hi@wrixit.com and we will investigate and remove it.
6. Who we share information with
We do not sell your personal data. We do not share it with advertisers. We do not use it to train third-party AI models.
We share information with a small number of service providers who process it on our behalf, under written data processing agreements:
| Provider | Purpose | Location of processing |
|---|---|---|
| Amazon Web Services | Hosting, database, file storage | EU (Stockholm, eu-north-1) |
| [EMAIL PROVIDER] | Sending transactional and digest email | [CONFIRM] |
| Apple / Google | Delivering push notifications to your device | [CONFIRM] |
| Plausible Analytics | Anonymous, cookieless website usage statistics | EU |
| Stripe | Payment processing, once paid plans launch | EU and US |
We may also disclose information where we are legally required to do so, or where necessary to protect our rights or someone's safety.
Other users see only what you have chosen to share, as described in section 5.
7. Where your data is stored
Your account, your children's information and your plans are stored on servers in the European Union, in the AWS Stockholm region (eu-north-1).
Some of our service providers may process limited data outside the EU. Where that happens, the transfer is covered by the European Commission's Standard Contractual Clauses or an adequacy decision, and we keep the amount of data involved to a minimum.
8. How long we keep it
| Data | Retention |
|---|---|
| Account and children's data | For as long as your account is active |
| After you delete your account | Deleted within 30 days, except where we must keep records by law |
| After a long period of inactivity | We contact you before deleting, and delete after 24 months of inactivity — chosen to comfortably span a full off-season, since tennis tournament activity is seasonal |
| Plans for tournaments that have passed | Kept as your history until you delete them or close your account |
| Early-access list, if you never sign up | Deleted 12 months after launch, or immediately on request |
| Server logs | 90 days |
| Accounting records for payments | As required by Norwegian accounting law (currently 5 years) |
| Support emails | 24 months |
9. Security
We protect your information with encryption in transit (TLS) and at rest, hashed passwords, access controls limiting who on our side can see personal data, and regular backups.
No system is perfectly secure, and we would rather say so than pretend otherwise. If a breach occurs that is likely to affect your rights, we will notify the relevant supervisory authority within 72 hours and inform you without undue delay.
10. Your rights
Under the GDPR you have the right to:
- Access the personal data we hold about you and your children
- Correct anything that is wrong
- Delete your data ("right to be forgotten")
- Restrict how we process it
- Object to processing based on our legitimate interests
- Data portability — receive your data in a machine-readable format
- Withdraw consent at any time, where we rely on consent
- Not be subject to decisions made solely by automated means with legal effect (we do not make any such decisions — our tournament suggestions are recommendations only, and every decision is yours)
To exercise any of these, email hi@wrixit.com. We will respond within 30 days. Most of these actions are also available directly in the app under account settings.
If you are unhappy with how we have handled your data, you can complain to your national supervisory authority:
- Norway: Datatilsynet — datatilsynet.no
- Sweden: Integritetsskyddsmyndigheten (IMY) — imy.se
11. Cookies and local storage
The playplan.ai website sets no cookies and writes nothing to local or session storage. We verified this directly on the live site.
Website analytics. We use Plausible Analytics to understand how many people visit playplan.ai and which pages they read. Loading a page makes one lightweight request to Plausible's servers, hosted in the EU. Plausible's script does not set a cookie, does not collect or store personal data, and cannot identify you individually — it only produces aggregate counts (for example, "140 visits to this page today"). Because it sets no cookie and processes no personal data, it requires no consent banner under the ePrivacy rules, and the site has none. Plausible acts as our data processor for this purpose; see the table in section 6.
In the PlayPlan app, we do not use cookies for advertising and we do not use third-party tracking. We collect the usage and crash information described in section 3.2 to fix problems and improve the product.
12. Beta
PlayPlan is currently in beta and free to use. During beta, the app may change frequently and occasional faults are possible. We recommend verifying any registration deadline against the official tournament page before you rely on it — PlayPlan always links you to the official source. Deadline information is provided as a convenience and we cannot accept responsibility for a missed registration.
13. Changes to this policy
If we make a material change, we will notify you by email and in the app before it takes effect. The date at the top of this page always shows when it was last updated, and previous versions are available on request.
